What are the pros and limitations of a Dynamics 365 Team Member license?

Let's start with a quick situation, you have recently implemented or are looking to implement a Dynamics 365 solution in your business and want to decide on whether Team Member licenses are suitable for your business.  

In order to establish whether they are or not, you will need to be able to review the following questions: 

  • What can I do with a Team Member license?  
  • What can’t I do with a Team Member license?

So what can I do with a Team Member license? 

  • Full read access across all Dynamics 365 apps 
  • Write access to Contacts, Notes and Activities

  • Submit and approve time / expense entries 
  • User reporting and dashboards 
  • Access by web, mobile, tablet and via Outlook

  • Associate a marketing list with an account or contact 
  • Create, update and delete email and Word templates 
  • Create and run embedded contextual canvas Power App within the model-driven app 
  • Mail merge 
  • Export to Excel (if authorised by administrator) 
  • Add or remove a connection for an account or contact 

So what can’t I do with a Team Member license? 

  • A selection of create / edit functions not available for Team Member licences include: 
    • Create, edit or delete leads and opportunities 
    • Create, edit or delete accounts 
    • Create, edit or delete knowledge posts  
    • Create work orders 
    • Create marketing list 
    • Create, edit or delete quotes and orders 
    • Create forms, entities and fields 
    • Create and update system charts /dashboards 
  • Quick Campaigns 
  • Customer Service Hub 
  • Sales Hub 
  • Schedule board and resource schedule management 
  • Configure system views and system dashboards 
  • Products and price lists 
  • Contracts 
  • Work orders 
  • Customise business processes 
  • Run standalone canvas Power App 
  • Forms Pro usage rights
