Using Management Reporter Security Features to Restrict User Access to Reports in Dynamics GP

Microsoft Dynamics GP’s standard financial/management reporting tools is known as Management Reporter (MR).

We can use MR’s out-of-the-box security features to restrict user access to specific reports within the it’s Reports Library or to selected elements of a report using Reporting Trees. 

We can create Users and User Groups in MR, with varying roles, in terms of company and processing rights and link the Users to your network’s Windows Authenticated User Accounts.

…and also to units within a Reporting Tree

When a Web Based report is generated via MR, a link to the report can be emailed to all required recipients via Outlook. The Recipients will only be able to view those elements of the report where their MR User account has been assigned to the corresponding Unit of the Reporting Tree.

In the above example, Harry Potter was only assigned to the Sales unit of the Tree and you will note that the other elements of the report are greyed out. The recipients only need access Internet Explorer and don’t need access to MR or Microsoft Dynamics GP.

Similarly, when using MR’s Report Viewer, where the end users do need access to the Report Viewer Software, they will only be able to view figures where their access has not been restricted, as shown below.  In this example, the end user is logged in as the Administrator who only had access to the Summary Report.
