A legal hold (also called a litigation hold) is an instruction to preserve specific electronic records — including emails — that may be relevant to actual or anticipated legal proceedings or regulatory investigations. Once a legal hold is applied, those records must not be altered or deleted, regardless of any routine retention or deletion policies that would otherwise apply.
CloudVault365™ enables legal holds to be applied to specific custodians, date ranges, or search-defined sets of emails — locking them from modification or deletion while the hold is in place. This provides the documented chain of custody that courts and regulators expect when email evidence is produced, and removes the manual process of notifying individual staff to preserve their own emails (which is unreliable and creates risk).

CloudVault365™ supports configurable retention policies that can be set at organisation level, department level, or for specific users — defining how long different categories of email are retained before being eligible for deletion. Policies can reflect specific regulatory requirements (for example, retaining all client communications for seven years for FCA-regulated firms) or internal governance requirements.
Retention policies are enforced automatically — emails are not deleted before their retention period expires, regardless of whether users delete them from their own mailboxes. Implementing CloudVault365™ does not require starting from a blank slate. Advantage manages the ingestion of historical email into the archive as part of the deployment — including importing existing PST files, migrating email from legacy archiving systems, and capturing historical Exchange Online mailbox content up to a defined cutoff date.
This historical ingestion is important for organisations with existing compliance obligations: if a regulatory request covers a period before CloudVault365™ was deployed, the historical archive needs to be in place to respond.
